1. Introduction

Global Immigration Health Security Systems (GIHSS) respects your privacy and is committed to protecting your personal information.

GIHSS is an independent Canadian organization providing preliminary immigration medical and criminal/security readiness assessments, verification services, and related guidance to individuals considering immigration to different countries.

This Privacy Policy explains how we collect, use, disclose, store, and protect personal information.

GIHSS is not a government immigration authority and does not replace official immigration medical examinations, criminal admissibility assessments, or decisions made by government authorities.

2. Information We Collect

Depending on the services requested, GIHSS may collect:
– Personal identification and contact information.
– Country of residence, nationality, and intended immigration destination.
– Immigration purpose and application stage.
– Information relevant to medical and criminal/security readiness.
– Documents voluntarily submitted for verification.
– Payment and transaction information.
– Communications with GIHSS.
We collect information reasonably necessary to provide the services requested.

Applicants should not submit detailed medical records, police certificates, or other sensitive documents through the free questionnaire unless specifically requested through an appropriately secured process.

3. How We Use Personal Information

GIHSS may use personal information to:
1. Conduct preliminary immigration readiness assessments.
2. Identify potential medical or criminal/security concerns.
3. Communicate assessment results and recommendations.
4. Provide paid assessment and verification services.
5. Verify information with authorized third parties when appropriate consent has been obtained.
6. Process payments and maintain necessary business records.
7. Comply with applicable legal obligations.
We do not sell applicants’ personal information.

4. Consent

By submitting information through our website, applicants consent to its collection, use, and processing for the purposes described in this Privacy Policy.

Where required, GIHSS will obtain additional consent before collecting sensitive information or contacting medical institutions, police authorities, or other third parties.

Applicants may withdraw consent, subject to applicable legal and contractual restrictions.

5. Data Retention

Global Immigration Health Security Systems (GIHSS) follows a data minimization and retention policy designed to protect applicants’ personal information.

Free Immigration Readiness Check

Information submitted through the GIHSS Free Immigration Readiness Check is collected to review the applicant’s preliminary immigration readiness and provide general guidance regarding potential medical and criminal/security-related considerations.

Questionnaire responses are stored securely and are accessible only to authorized GIHSS personnel who require access to process the submission and provide the requested service.

Retention period: Free Immigration Readiness Check submissions are retained for a maximum of fourteen (14) days from the date of submission. During this period, GIHSS may review the responses and provide preliminary guidance to the applicant.

After the fourteen-day retention period, the stored questionnaire responses will be automatically deleted from the primary questionnaire submission system, unless a longer retention period is required by applicable law or necessary to address a legitimate legal obligation.

Applicants should be aware that deletion from the primary system may not immediately remove copies held in system backups, email communications, or other systems subject to separate retention schedules. GIHSS will apply appropriate safeguards and retention controls to these systems.

The free readiness check is preliminary in nature. It does not constitute an official immigration eligibility, medical admissibility, criminal admissibility, or immigration decision.

Paid Immigration Readiness Assessment

Personal information and assessment records associated with paid services will normally be retained for three (3) months after the client’s case has been officially closed.

After this period, the records will be securely deleted or anonymized, unless a longer retention period is required by applicable law, an unresolved dispute, or another legitimate legal obligation.

Payment, accounting, and transaction records may be subject to separate statutory retention requirements.

Data Security and Deletion

GIHSS will implement appropriate technical and administrative measures to prevent unauthorized access to retained information.

Deletion procedures will also address relevant backup copies and third-party systems according to their applicable retention schedules.

Applicants may contact info@gihss.com to request information about their personal data or exercise applicable privacy rights.

6. Information Sharing

GIHSS may share necessary information with authorized service providers, verification institutions, or other parties involved in delivering requested services.

Sensitive information will not be disclosed to third parties for verification without an appropriate legal basis and, where required, the applicant’s specific authorization.

We do not sell personal information to advertisers or data brokers.

7. Data Security

GIHSS uses administrative and technical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and loss.

These measures include access controls, encrypted website connections, and account authentication protections.

However, no internet-based system can guarantee absolute security.

8. International Data Processing

Because GIHSS serves applicants worldwide, personal information may be processed or accessed by authorized service providers operating outside Canada.

Where international processing occurs, GIHSS will take reasonable steps to ensure appropriate privacy protections and comply with applicable legal requirements.

9. Applicants’ Privacy Rights

Subject to applicable law, applicants may request to:
– Access their personal information.
– Correct inaccurate or incomplete information.
– Withdraw consent.
– Request deletion of information that is no longer required.
– Obtain information about how their data is used or disclosed.
Requests should be sent to info@gihss.com.

GIHSS will respond within the time limits required by applicable law.

If GIHSS uses analytics, advertising pixels, or other optional tracking technologies, this Privacy Policy will be updated to describe their purposes. Where required by applicable law, GIHSS will obtain consent before activating such technologies.

Applicants may manage their cookie preferences through any cookie-management tools provided on the website, where applicable.

11. Children and Minors

GIHSS services are intended primarily for adults.

Information concerning minors may be collected where necessary for an immigration-related service, with appropriate authorization from a parent or legal guardian.
